Fleet Coordinator

The Fleet Coordinator plays a crucial role in managing the day-to-day operations of the company's vehicle fleet. This position involves coordinating vehicle maintenance, tracking fleet performance, ensuring regulatory compliance, and supporting drivers. The Fleet Coordinator must be highly organized, detail-oriented, and capable of multitasking in a fast-paced environment.

Pay Rate: $20hr
Overtime: $30hr
Key Responsibilities
Repairs and Maintenance:
- Repair and replace malfunctioning parts, including tires, mirrors, and windshield wipers.
- Conduct routine maintenance services such as tire replacement and fluid checks.
- Ensure company vehicles are well-maintained, clean, and charged.
- Report any vehicle issues or needs promptly.
Vehicle Setup:
- Install a variety of equipment and accessories on vehicles, including but not limited to cameras, emergency gear, phone accessories, and other electronic devices.
- Ensure all installations are performed to the highest standards of quality and safety.
Compliance and Safety:
- Ensure all fleet activities comply with local, state, and federal regulations.
- Conduct regular inspections to ensure vehicles meet safety standards
- Maintain records of vehicle inspections, maintenance, and safety checks.
Inventory Management:
- Maintain inventory of spare parts, tools, and supplies necessary for fleet maintenance.
- Ensure timely replenishment of inventory and track usage.
Tool and Equipment Management:
- Maintain and calibrate tools and equipment used in the repair process.
- Ensure a clean and organized workspace.
Errand Running:
- Complete various errands such as picking up and delivering packages, documents, and supplies.
Administrative Support:
- Assist with basic office tasks, including filing and data entry.
- Deliver and retrieve mail and parcels to and from the post office or courier service.
Qualifications
Education:
- High school diploma or equivalent; associate’s or bachelor’s degree in Business Administration, Logistics, or a related field is preferred.
Experience:
- 2-3 years of experience in fleet management, logistics, or a related field.
- Familiarity with vehicle maintenance and repair processes.
Skills:
- Strong organizational and time management skills.
- Excellent communication skills, both written and verbal.
- Attention to detail and ability to maintain accurate records.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
Technical Proficiency:
- Experience with fleet management software and tracking systems is preferred
- Certifications related to fleet management or logistics, such as NAFA Certified Automotive Fleet Manager (CAFM), are advantageous.
Communications and Leadership
- Proficiency in English, including reading, writing, speaking, and listening.
- Ability to read and understand various app interfaces and documents.
- Maintain a positive attitude and assist drivers with app issues and questions with paperwork.
- Demonstrate strong problem-solving abilities to address unexpected challenges or issues that may arise during training.
- Remain calm and composed under pressure and take proactive measures to resolve issues effectively.
- Coordinate with interviewers and co-HR Coordinators to schedule training sessions efficiently.
- Work with other departments to stay up to date on company timelines, projects and policies.
Compliance
- Abide by all company policies.
- Exercise caution and vigilance to avoid accidents and damages to company property.
- Maintain confidentiality with employee documents and private employee information.

- Be able to handle the mental stresses involved in interacting with various personalities and attitudes on a daily basis.
- Be open to feedback and coaching from supervisors and management to improve performance and service quality. Demonstrate a willingness to learn and adapt to changes in company policies and procedures.
- Maintain a clean workspace.
- Be able to lift up to 50 pounds without assistance as needed.
- Be able to sit & stand for up to 10-12 hours per day, not including meal breaks and paid rest breaks.
- Be able to frequently move to interact with fellow employees and/or clients. Specific vision abilities required by this job include close and distance vision, depth perception, and ability to adjust focus.
- Deal with stress associated with a fast-paced work environment and multiple priorities/tasks.
- Make judgment decisions and adapt to changing situations, grasp and apply new ideas, communicate with various team members at all levels and have the ability to apply common sense to carry out detailed instructions.
Technology
- Proficiently operate the Uber driver app, navigation systems, Tesla interface, Workramp, ADP, scale fusion, e-sign softwares, operating systems and other apps used by Tower EV.
- Be familiar with google drive, docs and spreadsheets, forms or other equivalent softwares.
- Stay updated on technological advancements and utilize relevant tools and resources effectively.
- Be able to quickly learn new apps/softwares/dashboards adopted and used in the company.
- Abide by the company's cyber security policies.
Work Schedule
Fleet Coordinator are required to have flexible schedule availability to ensure hiring needs are met. Schedules may be adjusted anytime to meet the needs of the operations but the management will work with you to find a balanced and predictable schedule when possible.
